7. Understanding Inspection Statuses
Overview
This article explains the different statuses used in CAMS Mobile to represent the lifecycle of an inspection, including how inspectors and administrators should interpret and manage them.

For Inspectors
This section outlines how inspectors can track and manage inspection progress within the mobile app.
Inspected Status
The Inspected status is automatically applied when an inspector completes an individual inspection record by filling all required fields and pressing Save. This status reflects that the record is in progress but not yet finalised.
What happens:

The record is saved locally to the mobile device.
-
It is automatically synced to the server when online.
-
The record remains editable until the inspector completes the entire hierarchy level.
Tip: Saving regularly ensures your work is backed up and reduces the risk of data loss.
How to Complete an Inspection
The Complete button is shown at each primary hierarchy level (e.g. Room, Building). Once you've inspected all assets under that section, you can finalise them together.
To complete an inspection:

Navigate to the appropriate hierarchy level.

Ensure all asset records under that level are marked as Inspected.

Tap the Complete button.
What happens:
-
All associated records are finalised in one action.
-
Completed records are removed from the device to enhance performance.
-
Records can still be redownloaded and edited until confirmed by the Admin.
Tip: Only tap Complete when you're sure you no longer need to review these records on your mobile device. They can still be redownloaded and edited until they are confirmed.
Completed Status
Once an inspection is marked complete, the record enters the Completed status.
What happens:
-
The data is uploaded to the server.
-
The inspection is removed from the mobile device.
-
The record is placed in quarantine, pending Admin review.
-
The inspection can still be redownloaded and edited as long as it hasn’t been confirmed.
If multiple inspectors downloaded the same record, all must complete their version before the Admin can confirm. If not, the Admin must apply Force Complete to the record.
Note: Redownloading and editing is allowed until confirmation. After confirmation, editing is no longer possible.
Confirmed Status (Inspector View)
After Admins confirm an inspection:

The record is permanently locked.
-
It is no longer downloadable to any inspector’s device.
Note: If you need to access or continue editing data after completion, redownload the inspection before confirmation.
Force Complete (Inspector Considerations)
Inspectors cannot trigger Force Complete, but understanding its role is essential.
What happens:
-
Force Complete finalises records that remain incomplete.
-
The record is removed from the inspector’s device without notifying the inspector.
When it applies:
-
The inspector is unavailable or the device is lost.
-
A record was downloaded but never completed.
Note: Notify Admins if you downloaded a record you can no longer complete.
For Administrators
Admins manage inspection transitions and are responsible for confirming or force-completing records.
Force Complete Option
Force Complete can be applied via the web portal to finalise inspections.
What happens:
-
The record is marked complete.
-
It is removed from any mobile devices without notifying the inspectors.
-
It becomes eligible for confirmation.
Use cases:
-
An inspector cannot finish their task.
-
A record is stuck due to accidental downloads.
Special considerations:
-
Force Complete is applied at the record level, not per user.
-
Admins can apply it in bulk for multiple records.
-
Inspections must be either completed or force-completed before confirmation.
Confirmed Status
The Confirmed status indicates that an inspection has been reviewed and finalised.
What happens:
-
The record is merged into the official database.
-
Editing and redownloading are no longer permitted.
When to confirm:
-
All assigned inspectors have either completed or been force-completed.
-
The Admin has verified all required data.
Note: This status is irreversible.
How to Force Complete and Confirm
Force Completing an Inspection (Admin)
-
Go to the web portal and locate incomplete records.
-
Select one or more records that need to be finalised.
-
Use the Force Complete option to mark them as complete and remove them from all inspector devices without notification.
Tip: Apply Force Complete in bulk to efficiently handle incomplete records, especially those stuck due to accidental downloads or unavailable users.
Confirming an Inspection (Admin)
-
Access the record in the web portal.
-
Ensure all associated inspection records have been completed or force-completed.
-
Click Confirm to merge the record into the official database and lock it permanently.
Note: Once confirmed, the inspection is no longer editable or downloadable.
Configuration
Admins can configure status logic and workflow rules in CAMS.
